Automatic quote follow-up: how the follow-up agent works (and what it earns you)
Most quotes aren't lost on price but to silence. Here's how a follow-up agent chases every quote automatically via WhatsApp and email, from €99 per month.

Why follow up quotes automatically?
Because most quotes aren't lost on price, they're lost to silence. A customer requests quotes from three companies; the one that responds first and stays politely present wins disproportionately often. A follow-up agent automatically sends a friendly reminder on days 3, 7 and 14, and stops the moment the customer replies.
So you never have to think about it again. Every tradesperson knows that calling back works. It just doesn't happen: during the day you're on the job, and in the evening you have better things to do. That is exactly the gap the agent fills.
How does the follow-up agent work exactly?
The follow-up agent chases every quote you send on a fixed rhythm of three touchpoints: day 3 a short WhatsApp, day 7 an email with the quote attached again, day 14 one last friendly nudge. If the customer replies, the flow stops immediately and you take over the conversation.
The rhythm is deliberately calm and human: presence, not spam.
- Day 3, WhatsApp. A short, personal question: "Any questions about the quote? Happy to think along." WhatsApp is almost always read in the trades.
- Day 7, email. Slightly more formal, with the quote attached again and a concrete next step ("shall I pencil in a target date?").
- Day 14, final nudge. A polite closer that adds urgency without pushing, for instance about the schedule filling up.
If the customer replies at any point, the flow stops automatically and you take over the conversation. The messages are written in your tone of voice and run white-label under your company name, so your customer simply sees your business.
What else the agent picks up
The same engine runs service reminders (boiler maintenance, annual checks) and seasonal campaigns ("aircon check before summer"). One system, multiple revenue moments.
What does quote follow-up earn you?
Quote follow-up pays off at one extra job every two months. Say you send 10 quotes per month averaging €2,500 and currently win 3: the follow-up agent costs you €99 per month, and that single extra job returns a multiple of it. Everything above that is margin currently lost to silence.
| | Without follow-up | With the follow-up agent | | --- | --- | --- | | Quote sent | customer never hears from you again | day 3 WhatsApp, day 7 email, day 14 nudge | | Customer replies | only if you happen to call back | flow stops automatically, you take the conversation | | Cost | "free" (but missed jobs) | €250 setup + €99/month, everything included |
What does the follow-up agent cost?
The follow-up agent is a sector add-on on top of our chat agents and costs €250 setup + €99 per month, including hosting, AI usage and messaging costs. Many clients combine it with the voicemail bot (€79/mo, no setup) and the review agent (€79/mo): together the complete "never miss a customer" system.
All prices exclude VAT and are cancellable monthly; the full overview is on the pricing page.
Doesn't automatic follow-up feel pushy?
No, as long as the rhythm is right. Three touchpoints in two weeks, each with an easy way out and stopping instantly on a reply, is what a good office manager would do too. Customers read it as tidy and professional: they haven't been forgotten.
It only becomes pushy with daily messages or continuing after a "no", which the agent deliberately never does.
